Office Manager

Our team is looking for an Office Manager who will be responsible for managing office operations and providing essential support to ensure our team thrives. Your role will involve various tasks, so a proactive problem-solving attitude is essential. WHAT YOU WILL DO:

  • Own Office Operations & Wellbeing: Oversee all office activities, ensuring a well-organized and efficient workspace: manage contractors, vendors, supplies, post & shipment (e.g., product sample logistics), while ensuring a positive and supportive office environment.
  • Budgeting & Financial Planning: Perform budgeting and financial planning with precision. Help track expenses and collect invoices, and assist the finance team with small tasks.
  • Coordinate Events & Meetings: Help organize company events, meetings, assist with team logistics, conferences, etc.
  • Administrative Record-Keeping: Maintain records (contracts, health documents, safety forms, sample inventory) and support colleagues with ad-hoc requests.
  • Master Google Suite & Tools: Be advanced in Google Suite and other technical tools. Be confident in constantly exploring ways to upgrade and integrate new solutions to streamline daily operations. We love an “Easy, I will Google / ChatGPT it” attitude.
  • Support Onboarding: Be an essential part of the onboarding process by preparing equipment, processes, and supporting HR to ensure new hires have a seamless, positive start.
  • Create Welcoming Initiatives: Develop initiatives that make everyone feel welcomed, valued, and connected to the team. Be the one to ask about your colleagues’ day and help foster a supportive and friendly atmosphere.

WHAT WE EXPECT:

  • Experience: Previous experience in an administrative, office management, or similar support role, preferably in a similar-sized/type organization.
  • Financial Understanding: A basic understanding of finance and accounting, or a willingness to learn (handling invoices, tracking team budgets).
  • Confidentiality: Ability to handle sensitive information with discretion.
  • Proactiveness & Independence: A self-starter who takes initiative and knows their limitations.
  • Technical Proficiency: Strong daily use of Google Workspace tools (Gmail, Drive, Docs, Sheets). Experience with Slack, Clickup / Jira, and Microsoft Office is a plus. Also, interested to hear what other tools you have used and how confident you are with them.
  • Hands-On & Can-Do Attitude: A mindset that’s ready to roll up your sleeves and get things done. Also, good humour and strong tone, depending on which is needed.
  • Strong Communication Skills: Exceptional interpersonal and communication skills, fluent in Lithuanian and English.
